2003-01-23 Budget Subcommittee Meeting

January 23, 2003

Present: Yasue Kuwahara, Kathy Schroerlucke, and Lois Schultz

Lois Schultz called the meeting to order at 2:43 p.m.

Lois Schultz stated the charge to the subcommittee which is to fine tune the formula for allocating departmental funds for library materials. She stated that fine tuning was needed because last year’s subcommittee had not included the graduate programs in the formula. The graduate programs had not been included due to an unclear SACS recommendation. The SACS issue is now resolved as long as the formula includes a factor for graduate courses. She then gave a brief history of how the funds to the academic departments had been allocated in the past few years. Lois distributed a copy of the formula that the subcommittee developed last year. She explained that because of the lack of new funds and the increase in serials cost that all serials were taken off the top for the present year, 2002-2003, and the formula was then applied for all other materials.

Kathy Schroerlucke questioned whether the committee was to fine tune the formula or whether it could make more widespread recommendations. There was a lengthy discussion of the formula and whether a formula was the way to proceed.

Lois agreed to run four scenarios of the budget on and Excel spreadsheet with two variables changing, graduate programs and the weight given to credit hours. There will be another meeting to discuss these scenarios and whether to recommend a different approach for allocating funds.
